Excel is a perfectly good program, and all you'll need. You can both update the same spreadsheet from your own PC, just enter the correct pathname.
Personally, I wouldn't consider putting an inventory of valuables into public space.

Excel is good - however google sheets is good as well. That will allow you to share. I moved from excel to Google sheets and have found it able to do everything I need.

I tried out some of the software solutions, but because my collection is reasonably small, decided to create a customized Excel Spreadsheet. But you could certainly use Google Sheets to do something similar. If you are really concerned about privacy, you could potentially "password protect" the Google Sheet itself. Neither are visible to the public at large; both are feasibly vulnerable to hackers. Google is just a bigger, more obvious target. CCF galleries are visible to any member of CCF; Google Sheets are visible only to you and anyone you share them with (whether directly or via your password). Installable software is too much of a hassle for a collection my size. Spreadsheets serve my purpose quite well. The downside to Excel is that I can't access it when I'm browsing at work or at a show. Sure, I could save the file to Dropbox but I'd still need Excel or a viewer on my phone and it's still a "public space". |

My take on security of data is that unless you know Google ID/PW, it will be difficult to access your files in Google Sheets. Same for any clould based files using ID/PW. I tend to think it will be easier to hack your computer than Googles database.
Therefore, Google Sheets would be my first choice. Also, these spreadsheet file format can easily be transferred to other spreadsheet programs. A dedicated software's data will be useless if the program is not working in future with different operating systems or upgrades. I ran into this many times before working in computer industry for 25 years.

There are now more then 1 Billion Google Accounts out there.
The chances of someone deciding to hack yours and then search through it and find a "coin inventory' file is pretty darn slim.. and then what? They would need to find out where you live and then try to steal it?
People are hacking sites for stealing things link massive lists of bank accounts, personal data, and credit card information....
That said, put a solid password on your account, and if you want, put an additional password on any truly sensitive files that you want to keep from any "prying eyes". And if you are really paranoid, you can actually purchase additional software that will "encrypt" the data further...
Otherwise, if someone wants to find people that have nice coin collections, sorry to say it would be a lot easier for them to just join these forums and watch the posts.. And even then, they would need to actually target someone physically.. and since most of these hackers are in foreign countries, not really a big concern for most people.... just avoid sending money to Nigerian princes or for foreign lotteries you mysteriously won without entering and you should be fine...
Instead, I would actually be more careful about posting things to your social media accounts where "friends of friends" may see things you may not want.. that is probably more of a "real" concern to keep things from prying eyes that may be more "local"..

Just remember that the so called cloud is really a large based local device somewhere. Placing person stuff there is like placing it all in the newspapers. Yes it may be difficult for someone to hack into it but if and when they do, then what.

On the other hand, someone could break into your house and steal the computer or had disk that has your spreadsheets.
MFA (Multi-Factor Authentication) for anything cloud-based is always a good idea in this day and age (as jbuck mentioned earlier).

You then email the excel coin file to your phone and you have it where ever you go, one reason I got a cell phone. Mine is a read only on the phone, just update when needed. |

I can put spreadsheets in Google Drive which I can access from anywhere, including my phone. The Sheets app on Android opens the files just fine.

Two "cloud" based collection management sites that you may want to consider are Heritage Auctions My Collection and Whitman Publishing My Collections. You have to create a free account to use either one. The Heritage account would also let you bid on/purchase items and get access to historical prices realized. Many (most?) CCF members have Heritage accounts for these reasons. Here's a screenshot of the Heritage input form  and here's a screenshot of the Whitman input form  Both of these sites can either be private or public. You could share the userid and password between yourself and your father and both of you would have access to your collection information. I don't keep my collection information in either site, but have put a few test coins into both just to see how they work. Both of them seemed acceptable and pretty comprehensive. Each also provides pricing data, which probably isn't up to the minute but should at least be in the ball park if you're interested. I can't comment on how secure they are, but if you're just entering generic, non-identifying information into them then I wouldn't think this would be an issue even if they were compromised. |
