Does anyone here keep track of your PM purchases/sells?
I try to keep track in a simple way. To get an approximate idea of what I have, and spot price at the current time. But is not very organized. Just scibbles in a notebook.
Anyone do this and have any "professional" ideas?

Most important is keeping the receipts, I kept all mines in a folder for records. Dealers that I do $$$ transactions, I would logged it down into a ledger, whether is for PM or numismatic purchases.
When it comes time to sell, I also keep a log with loss or profit, hopefully the latter.

Individual Coins:
Weight of each Coin/s per Purchase, Number Purchased, Buy Date, Price Paid, Current Book Value
Entire Collection:
Average Price Per Coin, Total Coin Count, Total Actual Silver Weight, Total Purchase Price, and Current Country Count are the major items I keep up-to-date records of.

I keep a spread sheet. It lists date of purchases, place of purchase, spot price ( in oz.) at time of purchase, total price paid per oz. and the spread sheet calculates the mark up in dollars and as a percentage.
The pay off will come in twenty years went silver is trending at over $100 per oz. and I will be able to calculate the profits.

Yes, a spreadsheet is an ideal way to keep track of PM buying and selling. Keeping the receipts from your purchases is good too. I usually scan them and then save them as a graphics file.
In the spreadsheet, I have columns for: Purchase Date, Item Type, Weight, Unit Price, Number of Units, Quality, Source, Order Number, and Comment. Could probably add a few items to this but this seems to do all that I need to do.
Have not sold any of my silver hoard yet and probably will not for some time yet. This is my financial disaster and inflation fighter reserve, so I don't sell periodically as others do. Nothing wrong with that but it just is not what I am attempting to do with silver.

Good idea Ed,
Scanning the receipts is better in case I lose them, perhaps may just take high res shots of them with my Canon Powershot.

Yes I keep track of it all, by storing the information in the old steel trap.... I don't right anything down at work if I am taking a food order for example. Once it goes in there is no escape like a black hole rof .... I quoted Jim Carey earlier at work from The Cable Guy (that came out several years back), when he orders him an Mathew Broderick a beer from the server winch at Medieval times, via Janeen Garrafalo.... "Dos though have a mug of ale for me and me mate, as he has been pitched in battle for a forts night and has the kings thirst for the tasty brew! Dos though might have for thus!"

Here's the bulk of the headings I keep in my excel file
Sheet1 (inventory): Year of Issue, Item Name, Denomination (if coinage), Composition, Mintage, Mass, Packaging(COA or not), $ Paid/item, Inventory (number I have)
Sheet2 (purchases): Date, Store (invoice), Quantity, $ Paid, Fees (shipping, taxes), Year of Issue, Item name, Denomination
Sheet3 is for sales, which is basically the same as purchases just reversed
I then set up the Inventory sheet to look for what's bought and sold automatically to calculate how much I have on hand and the average price and earnings on each coin.

I agree with Pobox there has a solid plan of three sheets....
We use a similar microsoft word/excel program at work that would work great to log this info, via logging every gold buy. First is the name of seller, then the 6 digit invoice number, next the type of gold like 14k for example at 4.5 DWT and say I paid 110 bucks for it, which would go in the next slot. Next the person who bought it, and last if I paid cash or debit card....
For security issues we load any buy of gold over 99 bucks onto a debit card that I can walk you to the machine and pull out as much as 800 at one time and of course can log back in an pull out say 200 more if I bought 1k worth of gold from someone....
You know who is really making a killing is those gold buyer Visa debit cards and aTMs. We load an extra 3 bucks for card cost and 3 more bucks onto card fro ATM fee. So if I agreed to make a deal with you at 120, I really load 126 on the card and instantly get you 120, minus going to a local Weigels convenient store which has ZERO sur charge on ATMs....
Anyhow, when you go from our daily worksheet with the info example above to our closing sheet, it calculates all buys into our daily plan....
Like I may have bought 17.5 DWT an had a plan that day to get 22.3, which would mean that particular day I was 78.4% to plan....
Sorry for the rant off subject, but again these programs can easily be used to keep track of PM buys and sells....
Like if you put a cash deposit of 1k at the top of page under balance, every time you make a purchase, it will subtract that amount as you go to next line down. So again if you had 1k to spend an bought a bar for 165, then you would have 835 dollars left in your balance....

Quote: Scanning the receipts is better in case I lose them, perhaps may just take high res shots of them with my Canon Powershot. Yes, that should work pretty well too. Those 4-8 GB USB thumb drives are so cheap these days that it's good to have one for each class of important info that you can't afford to lose. HDs DO crash from time to time and when that happens every bit of data on the drive can be lost. Sometimes some of it can be recovered but if it truly is data that you simply MUST have, backing up these files is essential. Whether on CDs, DVDs, or USB thumb drives, good backups are very worthwhile.
