records? what a concept. have tryed many handwritten systems. but for all the big things I have to do and all the small things I should be doing I compromise by doing nothing. procrastination is hard work! thank god for this forum   coggie

For me I keep an excel database. At present I find it fustrating as I am constantly downsizing my collection so I can buy some nicer coins.
Mind you once the project is complete I will be happy with my database. Then I might take Lim's advice and add photos.

I do not really keep track. I just mark how much I paid (coded) and put them in boxes or binders. When I am looking for something, I just look through to see if I have it.

I have MS Works Access database which I update when I buy/sell a note. I have about 10 columns which begin with date (purchased), ref#, (normally MacDonalds/Rennicks), year (of note), signatures, prefix, serial No., price paid, grade (at time of purchase), and columns for the past 5 years values.... Phew!! Sounds complicated, but it literally takes 2 minutes to enter data when I purchase. I used to have it worked out to %, but that was too laborious.
Now I have a life...

All I do is use a microsoft word document to record what coins I have, sorted by country and I keep a coin total at the end of the document, 120 so far but I have not got around to include my Australian 1c and 2c coins, my newest stuff and the Turkish coins.

I use a Microsoft Excel spreadsheet originally set up by bigfella. This has been modified to suit my needs. I keep one for coins and another for notes with totals for each.

I envy all of you who actually KNOW what you have in your collection. I gave up years ago as I bought, sold and traded so often the task became huge! Now all I know is I have a lot of coins stashed, some in albums, some in a safe, some in binders, some in 2X2's, some in a closet, some in Tupperware containers and some in places I have long forgotten about! I have literally hundreds and hundreds of receipts in various places so the situation, at this present time, is hopeless! The important thing is I am alive, still collecting and a DARKSIDER full of coin passion!

I see everyone has an inventory problem. Back in the days When we had MS DOS- I spent at least a couple years doing inventory and finally had a complete inventory except for a couple boxes of foreign.However. if you ever get burglarized as I have been-(twice) then you will need an inventory for the police-Fortunately for me- the police made an 85% recovery of what had been taken out of one of my safes-(the one that could be carried out) I had a huge Indiana safe in my garage but a sledge hammer would not open it. They thieves had thrown the safe in the Tuoloumne River near where we lived. Some of you may know Insurance adjusters are real picky- you must be able to prove what was taken- in order to get compensated-and this usually never happens. Afer MS-Dos like all of you, I had to start over again. So for a long time now, I have been using my Sony digital-I take one category at a time- Say My Conder tokens and photo them- they are in the white 2x2's and placed in a 2x2 coin box(es)on the photo I name them and place them in a folder on my desk top (Keeping the labeled disk) In my master folder (Dewey's Coins) I have many other folders named with each category, types etc inside this master folder. Ancient, Great Britain,VIctoria Major types etc;, With thousands of a 50 year accumulation, I will never be able to get in complete but you can at least have a pictorial inventory for your most treasured items. From what I have just read on all of you with this same problem, we seem to be a bunch of gluttonous additics. We have a disease which I call COINITIS. I use a program called "coin manage" it works very well even though my version is a older version, but it tells you the value of the coins,date purchased,what you paid,and so on. I found it was alot easier to keep up with than the paper and pen I started out with. you can download a trial version of it at libertystreet.com

I decided to use excel worksheets, because they require minimum efford to input, search, sort data(yes, I am lazy  ) I also think getting used to sort my collection in a specific programme, it may cause some difficulties in the future if I need to to switch.

My collection downsized from about 100 coins to 20, so stuff got deleted en mass.
Generally I keep a small excel record but lately I've not been updating it like I should, none of the Roman coins are on the records yet.
