The thread about insuring coins got me thinking about how to keep track of my collection. It is starting to grow and I would like a computer program to help me track purchase dates, prices, etc. What is everyone using. It can be a free or modestly priced program. My scraps of paper and notes are keeping me from getting organized. Thanks for any help.

I have always used a spreadsheet program to do everything, from coins to budgets to taxes and so on. There is a lot of manual work, compared to using a specialized program, but I enjoy it and it customized for me. It is a part of my geek nature.

I just use an XL spreadsheet. I can modify it any way I choose and you can build macro's for sorting and computations. I have separate tabs for denominations and sets.

I agree; XL works just fine and I can customize it to my needs. I seems that a main selling point of available commercial software is the ability to do "online" price/cost updating. I am way to paranoid of putting my collection inventory out there for anyone....just too risky for clever hackers.

I have no problem and actually enjoy updating the prices in my spreadsheets. I am not obsessed with their value, but I like to have a ballpark, so I update the prices maybe once or twice a year.

I agree with the paranoia of having it update online. Even if your list is "secure" on your PC, the program is updating the prices of those coins. It could be easy for someone sniffing your traffic to "see" your list just by seeing what prices are updating! It might be safer if the program grabs all prices whether you have them or not, but still risky since a snooper would see your interest in coins. I admit that might be over-the-top paranoia!

I also use MS Excel and find that is more than adequate. Kind of like your collecting in general, the satisfaction/value you get from your coin inventory spreadsheet is directly related to the time you put in. I have a filtered sheet that gives me all kinds of values like, year, mint, description, denomination, purchase price, source, value, sold price, notes, etc. I also have it referenced to a graph page that groups my collection by mintage statistics, condition, how many pieces do I own for each year, how many of each type do I have, etc. Another cool thing I am doing is taking pictures of my coins and then hyperlinking them to a column in the spreadsheet so I can just click on it to see a visual of the coin.

Can you tell I am proud of my little spreadsheet?

I use a program called Pro-Coin. Its awesome and has a trial available. https://www.mwpsoftware.com

I assimilated BadThad's spreadsheet into mine a few weeks ago... The "comments" column is very informational!

I have made an excel spread sheet for my collection. It was my way to learn excel, so it is a pretty elaborate workbook. I base my prices off of the RedBook, every couple of years, so I have to enter them all in. In my information on each set, I have an image of the coin, so it takes awhile to save it. I have been looking at a filemaker Pro database, but there again, it will take awhile, because I am learning as I am going along. I looked at the mwp software, but I didnt see it for mac.

I also started off using badthad's spreadsheet. Very nice and useful. I now I have multiple tabs and now its nothing like badthads :) I wont use pictures until I am finalized and happy with each coin in my set. One thing I do is add in the price I purchased the coin for. This helps me determine how much my set is worth or how much ive spent so far.

Wow, glad to hear others are getting use out my hard work!

That's just one sheet tab in my workbook. I break most everything down like that. It's a lot of work, but worth it and it's FREE! LOL

jbak....is there a way on Pro-Coin to get the field to calculate how many of one coin and their aggregate value into one cell?

Currently, I've had to enter each coin (e.g. 1909 VDB) in separately rather than being able to say my inventory has X number of a coin and getting the software to calculate X times value of each coin = Z.

I'll second that! It is what I use at home, which is why I deliberately say "spreadsheet" and not "Excel" in my posts. There are versions for Windows, Linux, and both Mac types (Intel and PPC).

I too use Excel. Saw BadThads sheet but too late. I have been using my own for probably hundreds of years. Slight exageration. I really like Excel since I can transfer all info from one computer to another with out the necessity of entering a special program. I too don't like on line type programs since there are way to many hackers out there that could be accessing your info.
I now keep my spread sheets simple. I used to document purchase dates, purchase amounts, where purchased, any postage if through a postage necessity situation, present values, grades, etc. One spread sheet for each album, proof sets, uncirc sets, rolls of coins, in 2x2's, etc. I download this info on those little stick things for a USB port which someone so nicely put in the front of my comoputer. Eventually I said to myself, SELF, what are you doing? Who cares about all that stuff? I don't sell coins, so why the history.
I also print out each sheet. This becomes a book in itself.
So now I cut down to just an inventory based on denominations, dates, mints, grade and approximate value.
With over 100 Albums, Proof and Uncirc sets from back in the 50's, rolls and rolls of coins, boxes of 2x2's, I still end up with a book of information.
Getting old so might eventualy even drop the value column.

I understand what you are saying. With the hundreds of albums you have, it could become more of a chore than fun to document everything about every coin!
