How Should I Catalogue My Collection?

Hello! So I have finally cataloging my coin collection, and have put it up on excel. But there is just one problem, I'm not sure what I should catalogue it by so it will cover all possibilities. (e.g. Country, year etc). Any ideas?

I catalogue mine by type and list them by years. I also include other info like variety and precious metal content.

I keep a photo record as well, editing in what ever line number the coin is listed on my excel sheet. This gives me a visual record for identifying marks.

I go by year of mintage, with Description in the title
SP, MS, PL, and grade.
Then list face value, mintage and cost, resale value,
Picture usually sellers or mine if necessary.
If I post a story on CCF about a variety or error
I link the page to the excel file.
Silver content and grams I divide out to get
partial troy oz. I keep a running tally of the value
and cost of my collection with ebay sales or trends
as close to actual value as possible.
Location of purchase is a new thing I track, because I
have multiples of some coins.

Ten coins per page, all invoices placed in book.

I agree with MontCollector and SilverDon on the cataloguing patterns that they both use. I use a similar pattern myself.

I would suggest one more added coin cataloguing visual reference outside of excel.

As a suggestion, I also use Flickr with my privacy settings turned on, (FYI, Instagram does not sort by name or create folders, and I am not a fan of Photobucket) for pictures of my main coin collection (the best coins I like). So when I go to coin shows I have a visual record available on my cell phone. Thereby, the visual reference is used to determine gaps and potential upgrades to my main coin collection.

I know some of you import the Microsoft Excel spreadsheet into Google Spreadsheets, so you also have a mobile coin reference on your phone also. That will work too.

Depends on what you're collecting. If you're only collecting one country then I can't recommend you to sort by country.

Anyway, what I have done, is both a list on Numista.com, which covers most of my coins, and in addition an excel sheet, which contains overviews in a different way. A tab can either be a continent or a country, depending on my interest in specific coin series. I use tab colors to group them. And then it's up to my specific level of interest on how much and which information makes it to an excel sheet.

I USED to do all sorts of things similar to what others have said. However, as my collection grew and grew and grew, all such info became unnecessary and redundant. Excessive documenting is OK for a few hundred or possibly a thousand coins but imagine if someday you have many thousands of coins. You documentation will be as massive as your house.
Today I use Excel and only list coins in Albums and only the date, mint, grade. All else becomes just excessive. Just to many thousands of coins to document.
