I know that as a rule, cleaning coins is pretty much frowned upon (a fact that escaped me in the very early days of my collecting). But I was wondering if it is acceptable to use something like a heated ultrasonic jewelry cleaner to just get any loose or slightly embedded dirt/grime off coins.

Second, I have read through a bit and am seeing that many in the community here are using excel as a way to track their coins and what all they have. I'm personally on Linux Mint and use OpenOffice but is there anyway that someone could post/email an example of their spreadsheet?

Id really like to learn to build my own but I really want to get set up to take pictures as well and I'm not sure how well that is going to work out in excel and I have absolutely no starting point in which to start from in using Access.

At any rate, just thought I would ask and see if I could get shoved in the right direction.

I actually build myself a table using Dreamweaver/HTML because I found that to be an easier way to include photos. I've included thumbnails within the table which link to larger photos when clicked.

you can certainly store photos in excel but it makes the file pretty big, really quick.
roughing out the instructions (and this might be different slightly depending on your version of excel):
Try doing this in the Comment section of a cell
1. Right-click the cell which contains the comment or you want to add comment..
2. Choose Show/Hide Comments, and clear any text from the comment. If adding the comment, choose insert comment and then continue.
3. Click on the border of the comment, to select it.
4. Choose Format|Comment
5. On the Colors and Lines tab, click the drop-down arrow for Color.
6. Click Fill Effects
7. On the picture tab, click Select Picture
8. Locate and select the picture, click insert
9. To keep the picture in proportion, add a check mark to Lock Picture Aspect Ratio
10. click OK, click OK

it is bulky but it does work. And if someone knows a better way, please let me know.

Possibly try the Search tab for cleaning coins, coin cleaning, ultrasound cleaners, etc. Has been discussed many times. And as a general statement, not really appreciated to use them.
As to Excel for anything to do with coins, try the same thing since that too has been rather well discussed. I use it all the time and it is really fun to make your own Excel setup for coins or anything else.
