Well, I'm not spreadsheet expert, but I can usually get things done but I am certainly not knowledgeable in databases. So after spending some time trying to come up with some way to document my coins and get images of them, more or less for insurance purposes and my own personal documentation, I came up with something that not only can I work with, but will work for now until I can learn more about databases.

My plan is to just print these out and put them in a three ring binder, that way I have a physical and electronic copy. It may not be the best solution, but it works for now.

The CoinID is nothing more than an insert of time in ISO format I believe and should never see a duplicate. It will also serve as the filename for the document and for the image file names which will be xxxxxx.xx.xx.xx_O and xxxxxx.xx.xx.xx_R for the obverse and reverse images.

Like I said, it may not be the most elegant solution or hi-tech solution but it works.

The link is to a Google Docs test example that I set to be open to anyone with the link to it. Tell me what you think or what I could do differently.

That looks great! I think it's a very good idea to have this kind of information available on ones collection.
Especially for insurance purposes. I'm sure this would be a dream to have for anyone trying to fill
out claims in a case of the unfortunate. With it set up this way, how many coins will you be able to fit to a
single page?

I designed it for one coin per page, that way I could have a slightly larger picture of the coin on there. I could certainly take out the purchasing information and have an even larger picture. However, I've thought also about making it two pages so that I could take a more detailed or close up pic of any error coins I may acquire or have. I dont know how crucial that would be. I have a color laser printer and know how to refill my toner cartridges so printing is not a real issue but I also have a photo inkjet printer if needed. But the laser printer seems to be a more durable print so I like using it. If I use the double sided printing I still only have one page, so doing that is certainly an option.

I would also like to ask, is that picture of the coin good enough for documentation purposes or does it need to be better. I'm not completely happy with it but it was the best I could do on short order. On my list of things to get is a copy stand and a light tent but I keep spending my budget on coins, LOL.
Rest in Peace

With external terrorbutt drives under $100 you could scan individual pieces over a certain value, and pages of cheaper stuff. Have a spreadsheet of data only, cross referenced to the images.

Store the drive someplace other than the coins.

Yeah, I got a couple USB external drives that under the terabit size, but I've been wanting to go get a new one in the terabit range. I guess this would be the perfect reason to go do that. However, if I'm going to document them, I'm of the type that I would probably document them all just so I have a record of it.

My Linux home directory is getting pretty large and I'm not sure I want to add this data to it as it would be a lot to move if I ever had need to.

I try to have an Excel spreadsheet for my collection. It is usually backed up onto 2 flash drives and then printed out. Due to an extensive collection, the print out in a 3 ringed binder is about 4 inches thick.

That a great way of doing it. I see no need for you to find another way. If it's stored on like and you have print out you should have all the bases covered if something ever did happen.
